Logging In

  1. Enter your username and password.
  2. Check "I Accept Terms and Conditions.
  3. Click Log In.
  4. If you have forgotten your password, enter your email address in the User Name field then click on Email me my password link.
    You will receive an e-mail containing your password.

Online Travel Request Submittal Process

Jacobson Solutions has an online Travel Request submittal feature located on the candidate portal to help streamline the travel process for JS employees and consultants. The online Travel Request submittal process will be utilized for all project starts, rotations and project end requests for projects requiring travel.

Travel Request Submittal Instructions

The online Travel Request submittal process will be utilized for all starts, rotations, and end requests for projects requiring travel. Please reference the Jacobson Solutions Travel and Entertainment Policy for any questions regarding travel eligibility and policy. As always, Jacobson strives to book travel with at least 14-days advance purchase. Therefore; when possible, all travel requests are to be submitted at least 16 days prior to the date of travel to help meet your request.

First Time Users

All first time users will need to first create a Traveler Profile.
  1. Access the Travel Request section by logging into the Candidate Portal
  2. Select the "Travel Request" link; the "Traveler Profile" page will open by default, and you will need to complete the required fields:
    1. First Name is your first name exactly as it appears on the government issued ID you will be traveling with.
    2. Middle Name is your middle name or middle initial as it appears on your government issued ID. If you do not have a middle name or initial printed on your government issued ID, then leave blank.
    3. Last Name is your last name exactly as it appears on the government issued ID you will be traveling with.
    4. Home Airport is the airport near your home that you will use for airline travel.
    5. Phone Number is the best number that Jacobson can reach you on your travel day (this should be a cell phone number).
    6. Add any necessary comments that you would like your approver and The Jacobson Group to see in the Timecard Comments field.
  3. Click on "Save" to save Traveler Profile.
Note:The Traveler Profile should be updated and saved whenever any changes are made to your government issued ID, home location or phone number.

Creating a Travel Request

  1. Access the Travel Portal by logging into the Candidate Portal
  2. Select the "Travel Request" link to access Travel Portal
  3. Click on "Add New Request" and complete the required fields
    1. Project Name will be the current project that you are requesting travel for.
    2. Request Type will either be Start, Rotation or End, please choose accordingly the type of travel segment being requested.
    3. Travel Type is the method of travel being booked. Further explanation on these options is below.
      1. Flight – Jacobson Book: Select if you request a flight to be booked by Jacobson.
        1. Dates, times and airports will be required.
        2. Any other special requests can be inserted in the comments box at the bottom of the page.
      2. Flight-Self book: Select if you decide to book your own flight or wish to go anywhere other than your home city. Requires Jacobson approval prior to booking.
        1. If approved, you must purchase the ticket personally and submit for reimbursement.
        2. Jacobson will reimburse up to the amount based on a 14-day advance purchase to your home city.
      3. Driving Personal Car: Select if you are approved to have your personal car on site and driving is your preferred means of travel. Requires Jacobson approval prior to finalizing arrangements.
        1. If approved, Jacobson will reimburse based on the mileage from your home address to project housing.
      4. Staying onsite: Select if you choose to stay onsite during your rotation and/or having a guest come to visit. Please note that traveling in a guest requires Jacobson and Client approval prior to booking.
        1. If approved, you must personally purchase your guest’s ticket and submit for reimbursement.
        2. If approved, you may be reimbursed for the cost of that person’s airfare/mileage provided it is during a rotation period. Reimbursement may include up to the cost of a 14-day advance purchase to your home city.
        3. Some clients will NOT reimburse to travel in a guest.
        4. You will need to provide Jacobson with the dates you will be taking off of work.
  4. You may either save a draft to edit at a later time or submit the request at the time of entry for approval.
    1. To edit an existing draft, click on the date you wish to edit and make any changes necessary before submitting for approval.
    2. Once a travel request has been submitted for approval it cannot be edited. Contact Travel Services immediately to delete the request. You will be required to submit a new travel request.
    3. Please think carefully about your request as you are responsible for any change fees and increases in airfare.
  5. Jacobson’s Travel Services group will receive your travel request(s) and you will receive a notification informing you of a successful submission.
  6. Any requests requiring prior approval will be reviewed by Jacobson and the Client, if applicable.
  7. If your travel request is rejected, you will receive an email notification that includes reason for the travel request being rejected, and you will need to submit a new travel request.
  8. Once travel request(s) have been approved, you will receive an email notification and Jacobson’s Travel Services group will book travel.
    1. Once travel has been booked and finalized, Travel Services will upload a copy of your itineraries and memos to the travel event link that is associated with the travel date.
    2. You will receive an email confirming the itinerary upload.

Special Notes

  • Jacobson must be made aware whenever you leave a client site.
  • Please think carefully about your travel request as you are responsible for any change fees and increases in airfare.
  • If you choose to stay on site for your rotation, you will not be eligible to travel home until your next eligible rotation period.
